Download an offline template
Blank business details, editable work items and no example prices. One offline layout, separate from the online Simple, Modern and Branded styles.
PDF is for printing, without fillable fields. Word tables are editable; neither format calculates totals. Excel: eight lines, CAD only. Quantities: 0–10,000, up to three decimals. Rates: 0–10,000, up to two decimals. Each line rounds half up to cents. No tax, discounts, shipping, deposits or payment balance calculations. Review inputs and totals.
Choose “Use this template” to edit online and export a completed PDF. Offline downloads leave your browser draft untouched.
A practical example
Fictional example. Replace the details and rates before use. CAD rates are illustrations, not price recommendations.
| Description | Quantity | Unit | Rate (CAD) |
|---|---|---|---|
| Wall framing — fictional outbuilding | 12 | hour | 75 |
| Framing timber | 1 | lot | 240 |
What to fill in
- Name the project and the completed scope.
- This example does not calculate progress claims, retainage or certified valuations.
Identify the work completed in this period
Describe the building area and completed activity, such as framing a named outbuilding, rather than billing an unexplained percentage of the whole project. A phase reference helps the client connect this invoice to the agreed scope and earlier bills.
Keep the current bill distinct from the project budget
List only the work being charged on this invoice. Refer to a change order when additional scope has been agreed, and keep it separate from the original phase. A full contract value belongs in the project records, not as another charge alongside the completed work.
- Name separately priced material packages clearly enough to identify what was supplied.
Construction invoice questions
Should I include work from an earlier invoice?
Keep previously billed work out of the current charges. You can reference the earlier invoice in notes when it helps the client follow the project history.
Does it calculate retainage?
No. Progress claim certification, retainage and contract valuations need a separate process.
Where should supplied materials appear?
Add separate quantities and rates for materials when they are priced separately from labour.
