What to fill in
- Identify the contracting business and the specific scope performed.
- This example does not calculate retention, pay applications or statutory deductions.
Bill the contracting business for your portion
Identify the main contractor as the customer and connect the invoice to its job, package or subcontract reference. Describe your own completed trade scope, including the building area or zone, rather than repeating the description of the entire development.
Make site records easy to reconcile
Match billed dates and quantities to your work records. Separate original subcontract work from agreed additions, using the contractor’s variation reference where available.
- Identify a measured installation by both item and location.
- List materials only on the basis agreed with the contractor, avoiding a second charge inside an inclusive rate.
Subcontractor invoice questions
Can I identify the main contractor job?
Use the customer field for the billed contractor and Project reference for the job or work order.
What if a variation is still being discussed?
Keep an unagreed variation out of the charges. Once its scope and price are agreed, identify it separately from the original subcontract work.
Does this create a pay application?
No. It is an ordinary invoice without certified valuations, retainage or a pay application schedule.
