Download an offline template
Blank business details, editable work items and no example prices. One offline layout, separate from the online Simple, Modern and Branded styles.
PDF is for printing, without fillable fields. Word tables are editable; neither format calculates totals. Excel: eight lines, CAD only. Quantities: 0–10,000, up to three decimals. Rates: 0–10,000, up to two decimals. Each line rounds half up to cents. No tax, discounts, shipping, deposits or payment balance calculations. Review inputs and totals.

A practical example
Fictional example. Replace the details and rates before use. CAD rates are illustrations, not price recommendations.
| Description | Quantity | Unit | Rate (CAD) |
|---|---|---|---|
| Process review workshop — fictional team | 4 | hour | 150 |
| Recommendations report | 1 | report | 450 |
What to fill in
- List the engagement reference and service period.
- Separate hourly work from fixed fees; explain any agreed expenses.
Tie the fee to an engagement outcome
Describe the workshop topic, review stage or report being billed. For an organizational client, use the engagement or purchase order reference they recognize, rather than putting confidential findings in the invoice.
Separate sessions from analysis
Preparation, facilitated sessions and follow-up analysis can belong to one fixed fee or have separate prices. Follow that agreement: listing a workshop and report separately should not add a second charge for analysis already included in the report fee.
- Identify a billed milestone by its delivered output.
- Describe an agreed travel expense with its date and purpose, separate from consulting hours.
Consulting invoice questions
Can I combine a workshop and a report?
Yes. Give time-based sessions and fixed-fee reports separate rows with their own units.
How do I show more than one consultant’s time?
Use separate role or consultant-reference rows when their rates differ. Enter each person’s billable hours against the matching rate rather than averaging unrelated rates.
Does this manage a retainer balance?
No. It can describe a billed fee, but it does not maintain a retainer ledger or automatically carry credits forward.
