What to fill in
- Name the event reference and dates without unnecessary attendee information.
- Explain which supplier costs are included; deposits and supplier settlements need separate tracking.
Separate planning stages from event-day work
Name the event reference and identify the planning stage being billed, such as venue coordination or a completed planning package. Event-day coordination should show its date and the agreed time basis rather than being hidden inside an unexplained project total.
Make supplier costs traceable
Distinguish your planning fee from supplier costs you agreed to rebill. Identify the supplier service and its reference, without repeating attendee lists or internal event records. If the client pays a supplier directly, that payment should not also appear as a charge payable to you.
Event planning invoice questions
Can I bill for planning before the event takes place?
Yes, if that planning stage is payable under your agreement. Name the completed stage and relevant period rather than describing future event-day coordination as already delivered.
How do I show reimbursed supplier costs?
Add clearly described rows for agreed costs and review their tax treatment; there is no supplier settlement ledger.
Does this reconcile event deposits?
No. This simple template does not manage deposits, escrow or supplier payments.
