Translation Invoice Template — PDF, Word & Excel
Describe translation word counts, language pairs and review work.
Your current input stays until you confirm a replacement.

Download an offline template
Blank business details, editable work items and no example prices. One offline layout, separate from the online Simple, Modern and Branded styles.
PDF is for printing, without fillable fields. Word tables are editable; neither format calculates totals. Excel: eight lines, CAD only. Quantities: 0–10,000, up to three decimals. Rates: 0–10,000, up to two decimals. Each line rounds half up to cents. No tax, discounts, shipping, deposits or payment balance calculations. Review inputs and totals.
Choose “Use this template” to edit online and export a completed PDF. Offline downloads leave your browser draft untouched.
A practical example
Fictional example. Replace the details and rates before use. CAD rates are illustrations, not price recommendations.
| Description | Quantity | Unit | Rate (CAD) |
|---|---|---|---|
| Document translation - fictional example | 1 | word | 0 |
| Additional language review - fictional example | 1 | hour | 0 |
What to fill in
- State the language pair and whether the word count is from source or target text.
- Use a non-sensitive document reference; keep source documents out of the invoice.
Make the word-count basis visible
Identify the language pair and whether the fee uses source or target words. Connect the count to a document version or batch reference; a revised file may have a different count from the one originally quoted. Use a reference rather than copying sensitive source text into the bill.
Separate language work from file work
Translation, a separate review and document layout can have different agreed charges. Identify which service each row covers and use its agreed word, hour or project unit. A fixed document fee need not be converted into a word count simply to fit the example.
Translation invoice questions
Which word count should I enter?
Enter the source or target count agreed with the customer and state that basis in the description.
What if my agreed word count exceeds 10,000?
The offline Excel template limits a line quantity to 10,000. Use clearly described non-overlapping batches within that limit, or an agreed project-fee basis; keep the full count in the description.
Is this a certified translation document?
No. The invoice does not certify the translation or replace a signed translator statement.
